Our client is seeking a highly organized and experienced Payroll / Accounts Payable Lead to manage and oversee the day-to-day operations of both the payroll and accounts payable functions within the organization. The successful candidate will lead the processes of Payroll and AP to ensure the accurate and timely processing of payroll, benefits, vendor payments and related functions. This position requires a proactive leader with strong attention to detail, problem-solving skills and the ability to collaborate cross-functionally to support smooth operations across the business.
Payroll / Accounts Payable Lead Responsibilities:
- Oversee the processing of bi-weekly/monthly payroll for all employees, ensuring accuracy in wage calculations, overtime, bonuses, commissions and deductions
- Ensure compliance with federal, state and local payroll tax laws, and handle all tax filings and regulatory reports (e.g., 941, state unemployment, etc.)
- Administer employee benefit deductions, including health insurance, retirement plans and other voluntary benefits, ensuring accurate calculations and timely contributions
- Address payroll-related inquiries, investigate discrepancies and provide clear communication to employees about their payroll and benefits information
- Lead the processing of all vendor invoices, expense reimbursements and payment requests
- Ensure payments are made on time, with proper documentation and in accordance with company policies
- Manage relationships with vendors, addressing payment inquiries, resolving discrepancies and maintaining up-to-date vendor records
- Oversee the execution of payments via checks, ACH, wire transfers and credit cards, ensuring adherence to payment terms and organizational deadlines
- Review and reconcile AP accounts and vendor statements. Provide monthly AP reports to management and assist in month-end closing procedures
Payroll / Accounts Payable Lead Requirements:
- 3+ years of experience in payroll and accounts payable management
- Familiarity with payroll software (e.g., ADP, Paychex, Workday) and AP software (e.g., QuickBooks, NetSuite, SAP) is preferred
- Advanced proficiency in Microsoft Excel (e.g., pivot tables, v-lookups), and working knowledge of ERP and payroll systems
- Strong written and verbal communication skills, with the ability to effectively interact with internal stakeholders and external vendors
- Excellent analytical and problem-solving skills, particularly in resolving payroll and AP discrepancies
