Part-Time Temporary Administrative Assistant Responsibilities:
- You will be responsible for managing and organizing incoming emails, responding promptly, and ensuring that all communication flows smoothly. This includes screening emails, prioritizing messages and drafting responses as needed, allowing the executives to focus on high-level tasks
- Provide comprehensive support for the company’s quarterly meetings, including handling logistics such as scheduling, securing meeting rooms, coordinating catering, and preparing meeting materials. You will ensure that the meetings are well-organized and run without a hitch, contributing to productive discussions and successful outcomes
- Accurately perform data entry tasks, including updating information related to license amendments and other important documents. Your attention to detail will ensure that all records are kept up to date and in compliance with necessary regulations
- You’ll be responsible for processing incoming mail, organizing correspondence, and ensuring that critical documents are delivered to the appropriate parties. Additionally, you will assist with processing deposits and maintaining records of transactions, helping to streamline financial operations within the division
- As part of a fast-paced, collaborative team, you may be asked to take on various other administrative duties as needed. This could include supporting other team members, assisting with special projects and providing general office assistance to ensure that operations run smoothly
Part-Time Temporary Administrative Assistant Requirements:
- At least two years of professional administrative experience, ideally in a corporate or financial services environment. Your background should demonstrate your ability to manage a variety of administrative tasks, prioritize effectively and contribute to the overall success of the team
- Strong organizational skills and a keen eye for detail. You’ll need to stay on top of multiple tasks at once, ensuring that everything from emails to meeting logistics is managed with precision
- Advanced proficiency in the Microsoft Office Suite, including Word, Excel and Outlook. Your technical skills will be crucial for handling scheduling, document preparation, and communication tasks in a timely and professional manner
- Exceptional verbal and written communication skills. You will be interacting with a variety of stakeholders, both internal and external, so your ability to clearly and professionally convey information will be essential
- The ability to manage multiple priorities effectively and work efficiently under pressure. You should be comfortable in a fast-paced environment and capable of handling several tasks simultaneously while maintaining high standards of quality
- This position offers a hybrid work model, so you should be able to work both from home and in the office as needed. Your ability to stay organized and maintain communication with the team while working remotely will be key
- Immediate availability is a must. We are looking for someone who can start right away and hit the ground running to provide support to the executive team
