The Deductions Specialist plays a pivotal role in maintaining financial accuracy and supporting the company’s operational efficiency by ensuring timely resolution of claims and fostering strong customer relationships.
Deductions Specialist Responsibilities:
- Review customer deductions related to pricing errors, shipping discrepancies, product damages or promotional agreements specific to manufacturing processes
- Examine supporting documentation, including contracts, purchase orders and manufacturing records, to validate or contest deductions
- Partner with internal departments such as Production, Logistics and Sales to gather necessary data for resolution
- Evaluate and process valid deductions; dispute inaccuracies to recover funds
- Communicate findings effectively to customers and collaborate to resolve disputes
- Issue adjustments or credit memos for authorized deductions in the accounting system
- Maintain detailed records of deduction investigations and resolutions
- Develop reports that highlight deduction trends, recurring operational issues and resolution performance
- Provide actionable insights to management on improving deduction handling processes
- Ensure adherence to company financial policies and industry compliance standards
- Identify and propose enhancements to the deductions management workflow to reduce recurring issues
- Contribute to cross-departmental initiatives aimed at operational efficiency
- Build productive relationships with customers to address deductions professionally and effectively
- Work with internal stakeholders to resolve root causes of deductions and implement preventative measures
Requirements:
- Bachelor’s degree in Accounting, Finance, Business Administration or a related field required
- 2+ years of experience in deductions management, accounts receivable or a related role, ideally within the manufacturing sector
- Proficient in accounting software (e.g., SAP, Oracle) and Microsoft Excel
- Strong analytical and problem-solving capabilities with a focus on attention to detail
- Exceptional communication skills, both verbal and written
- Proven ability to manage multiple priorities in a fast-paced environment
- Familiarity with manufacturing industry standards and practices preferred
- Experience with ERP systems and knowledge of financial reporting tools preferred
- Understanding of trade promotions, customer agreements and logistics processes preferred
- Skillful in interpreting complex deductions and resolving them effectively.
- Demonstrated ability to work closely with cross-functional teams to achieve results.
- Strong interpersonal skills for engaging with internal and external stakeholders.
- Commitment to accuracy and thoroughness in all tasks.
- Effective in prioritizing tasks and meeting deadlines.
