LaSalle Network is thrilled to partner with a prestigious nonprofit organization in downtown Chicago to find a Temporary Executive Assistant to support their Executive Director. This is a unique opportunity for an experienced, proactive professional who thrives in a dynamic, fast-paced environment and is passionate about contributing to meaningful work in the nonprofit sector.
Temporary Executive Assistant Responsibilities:
- Take full ownership of the Executive Director’s calendar, efficiently scheduling and managing appointments, meetings, events and deadlines, while anticipating the Director’s needs and preferences
- Organize and manage high-profile personal and professional events, such as board meetings, fundraising events, community outreach initiatives and special gatherings, ensuring seamless execution from start to finish
- Arrange detailed domestic and international travel, including flights, accommodations, transportation and itineraries, ensuring a smooth and stress-free experience for the Executive Director
- Leverage existing professional relationships to build new partnerships, enhance the organization’s initiatives, and support the Executive Director in building strategic collaborations with stakeholders, donors and key partners
- Assist with time-sensitive special projects, research, presentations, and administrative tasks, providing vital support to streamline operations and maintain efficiency across the Executive Director’s office
- Handle sensitive information with the utmost discretion and professionalism, maintaining confidentiality while being a trusted advisor to the Executive Director
- Manage incoming communications, prioritize requests, draft correspondence and act as the main point of contact for both internal and external stakeholders, ensuring prompt and courteous responses
- Oversee day-to-day administrative tasks to keep the office organized and fully operational, such as ordering supplies, maintaining files, and handling office logistics
Temporary Executive Assistant Requirements:
- 2+ years of experience in an Executive Assistant role, preferably in a nonprofit, corporate, or high-level executive setting
- Expertise in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with a knack for learning new software and tools quickly
- Strong written and verbal communication skills, with the ability to represent the Executive Director effectively in both formal and informal settings
- Demonstrated experience arranging complex travel plans, both domestic and international, with an attention to detail and a focus on efficiency
- Comfortable managing competing priorities, adapting to fast-changing needs, and thriving under pressure in a high-energy environment
- Willing to work beyond regular hours as needed to accommodate the Executive Director’s schedule and urgent tasks
- meticulous eye for detail and an ability to stay organized, ensuring tasks are completed on time and to the highest standard
- A collaborative mindset and a proactive approach to problem-solving, willing to pitch in wherever needed to support the organization’s goals
